Who we are
Framing is a visual media studio based in London, United Kingdom, producing video and photography for businesses, brands and independent projects. In this notice, "we" and "us" mean Framing. For anything relating to your personal data, contact us at contact@framingmedia.uk.
For the purposes of UK data protection law, Framing is the data controller for the personal data described below.
What we collect
Enquiries through this website
When you send the enquiry form we collect the details you type into it: your name, email address, and optionally your business or project name, phone number, the service you need, the shoot location, a rough date, a budget range and your description of the project. The form provider also records the submission time, the page it came from and the IP address it was sent from, for spam filtering.
Clients and prospective clients
If we go on to work together we hold what is needed to run the job and meet our legal obligations: contact details, correspondence, quotes, invoices and payment records.
People appearing in photographs and video
On a shoot we capture images and recordings of people. Where images identify an individual they count as personal data. Consent and release arrangements are agreed with the commissioning client before the shoot, and anyone who does not wish to appear can say so on the day.
Website usage
This website does not set analytics or advertising cookies and does not track you across other sites. Fonts are loaded from Google Fonts, which means your browser makes a request to Google's servers and Google may log your IP address as part of serving that request. The enquiry form is delivered by SplitForms, which processes your submission on our behalf.
Why we use it, and our legal basis
- To reply to your enquiry and prepare a quote. Legal basis: your consent, given when you tick the box and send the form, and our legitimate interest in responding to enquiries about our services.
- To deliver a booked project. Legal basis: performance of a contract with you.
- To keep accounting and tax records. Legal basis: compliance with a legal obligation.
- To show work in our portfolio. Legal basis: legitimate interest, and only where the usage rights agreed with the client permit it.
- To keep the site and the form free of spam and abuse. Legal basis: legitimate interest.
Who we share it with
We do not sell personal data and we do not share it for advertising. We use a small number of service providers who process data on our behalf:
- SplitForms receives and stores enquiry form submissions and forwards them to our inbox. See their privacy policy.
- Our email provider holds the correspondence that follows an enquiry.
- Our hosting provider serves this website.
- Our accountant and payment providers where invoicing is involved.
We may also disclose information where we are required to by law.
Where your data is held
Some of these providers store or process data outside the United Kingdom. Where that happens, the transfer is covered by the safeguards those providers put in place, such as the UK International Data Transfer Addendum or standard contractual clauses.
How long we keep it
- Enquiries that do not lead to a booking: up to 24 months, then deleted.
- Client project records: for the duration of the work and 6 years afterwards, to meet accounting and tax requirements.
- Photography and video files: retained as archive material unless you ask us to delete them and we have no legal reason to keep them.
Your rights
Under UK GDPR you have the right to ask us for a copy of your personal data, to correct it, to have it deleted, to restrict or object to how we use it, and to receive it in a portable format. Where we rely on your consent, you can withdraw that consent at any time, which does not affect anything done before you withdrew it.

If you are not satisfied with how we have handled your data you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
Cookies
This site does not set its own cookies and runs no analytics or advertising scripts. If that changes, this notice will be updated and a cookie banner added before any non-essential cookie is set.
Changes to this notice
If this notice changes, the revised version will be posted here with a new date at the top. Material changes affecting people we already hold data about will be communicated directly.
